1. Information you give us
When you use Voca, you give us some information yourself:
- Account details: your name, email address and/or phone number, password (we store only a secure hash, never the password itself), profile photo, language and time zone.
- If you sign in with Google: the name, email address and profile photo Google shares with us. We never see your Google password.
- Learning information: your placement test results, your answers in practice exercises and games, the words you save, your goals and your progress.
- Voice recordings: when you record yourself in a pronunciation exercise, we use the recording to score your pronunciation and give you feedback.
- Sessions: the sessions you book, your tutor's notes and evaluations, your ratings and, sometimes, a recording of a live session so you can watch it again.
- Plan and payment records: your plan, remaining sessions, installments and invoices. We do not store bank card numbers.
- Messages: what you send us by email, WhatsApp or Telegram, and anything you tell our support team.
2. Information collected automatically
When you use the website or the app, we also collect some technical information:
- Device and app information: device type, operating system, app version, browser and language.
- Usage information: the pages and screens you open, the features you use, and errors or crashes, so we can fix problems and improve Voca.
- On the website we use Microsoft Clarity to understand how pages are used (for example, where people click or get stuck). It records how you interact with pages; sensitive fields such as passwords are not recorded.
- Notification tokens, if you allow notifications, so we can send you reminders.
3. How we use your information
- To create and run your account and keep you signed in.
- To match you with tutors, schedule your sessions and remind you about them.
- To personalize your practice, track your progress and show your Voca Score, Voca Points and badges.
- To contact you about your account, your sessions and your plan, and to answer your questions.
- To send you practice reminders and updates. You can turn these off at any time.
- To keep Voca safe by preventing fraud, abuse and duplicate accounts.
- To understand how Voca is used and make it better.
- To meet our legal obligations.
4. Features powered by AI
Some features use artificial intelligence services, such as scoring your pronunciation, giving feedback on your writing, reading words aloud and helping us prepare practice content. To do this, we send the AI provider only the audio or text that feature needs, and it sends the result back to us.
We do not use AI to make decisions about you that have legal or similarly significant effects.
5. Who we share information with
We do not sell your personal information. We share it only when it is needed to run Voca:
- Your tutors see what they need to teach you: your name, level, goals, progress and the notes from your sessions.
- If you are a parent who manages a child's account, you can see your child's activity and the tutor's feedback.
- Service providers that work for us: hosting and storage, email delivery, Google (sign-in, and Google Meet for live sessions), Telegram if you link your account, Apple and Google notification services, Microsoft Clarity analytics, and AI providers. They may use your information only to provide their service to us.
- Authorities, when the law requires it, or to protect the rights and safety of our users and of Voca.
- A new owner, if Voca is ever merged or sold. They would have to respect this policy.
6. Cookies and similar technologies
We use cookies and similar storage in your browser and on your device to keep you signed in, remember your preferences (such as language and theme) and measure how the website is used. Sign-in cookies are essential: without them you cannot use your account. You can clear cookies in your browser settings at any time.
7. How long we keep information
We keep your information while your account is active. If you delete your account, we delete or anonymize your personal information within 30 days, except for records we must keep longer, such as payment records the law requires, or to resolve disputes and prevent abuse.
8. Your choices and rights
- See and update your profile information in the app or on the website.
- Delete your account from your profile settings in the app, or by emailing us.
- Turn notifications, email reminders and Telegram messages on or off.
- Ask us for a copy of your information, or ask us to correct or delete it.
- Ask your tutor not to record your session.
9. Children
Learners of all ages use Voca. If you are under 18, please use Voca with the permission of a parent or guardian. A parent can create and manage children's accounts, and receives the reminders and tutor feedback for them. A parent can ask us at any time to see, correct or delete their child's information.
10. Keeping your information safe
We use encrypted connections (HTTPS), store passwords only as secure hashes, and limit access to personal information to the staff who need it to do their job. No online service can be 100% secure, so please keep your password to yourself and tell us if you notice anything suspicious.
11. Where your information is stored
Voca is based in Iraq. Our servers and some of our service providers are in other countries, so your information may be stored and processed outside Iraq. We choose providers that protect it to a standard similar to this policy.
12. Changes to this policy
We may update this policy as Voca grows. We will change the date at the top of this page and, for important changes, let you know in the app or by email before they take effect.
